About the Role
 
With minimal supervision, is responsible and accountable for providing administrative services and comprehensive finance support to the Director, Managers and staff within the Directorate.

Responsibilities
  • Provides comprehensive administrative support to the Director Visitor Services, Manager Visitor Services and other staff within the Visitor Services team as directed.
  • Provides financial administrative support using the FMIS (Sage) Financial System, including in purchasing and accounts processes, resolving disputed invoices, actioning new suppliers, maintaining expenditure spreadsheets as required, and registration/disposal of assets ensuring compliance in accordance with Treasurers’ Instructions (TI) and the Financial Information Management Act (FMA) 2006.
  • Reviews complex invoices for all major contracts identifying issues and referring to the Director and Manager where invoices are appropriate for receipting.
  • Supports the Director and managers in HR processes, including drafting of HR forms, timely sign off and submission of timesheets and allowances, staff induction requirements.
  • Provides secretarial support to management meetings, including preparing agendas, circulation of papers, drafting minutes, and monitoring action items to completion.
  • Undertakes basic research, collects and collates information for the Director and Manager as required.
  • Produces reports and assists with written submissions on behalf of the Division.
  • Develops, maintains and improves administrative procedures in consultation with the Director and Visitor Services staff.
  • Monitors budget expenditure, including preparing internal reports for review, support the Director and Visitor Services staff to identify budgetary issues and in budgetary planning.
  • Manages information systems for the record management of correspondence and databases as required in accordance with legislative requirements, policies and procedures.
  • Coordinates and/or responds to internal and external enquiries for the Division as required.
  • Establishes and maintains effective working relationships with internal and external stakeholders.
  • Actively contributes to a successful and productive Visitor Services team that is outcome focused and aligned to goals and values
  • Undertakes other duties as directed by the Director.
