  • Parttime Hours: 4-6 hours per day, 5 days per week Mon-Fri
  • Commence 30 th March for 8-9 Weeks
  • Essential: candidate must have proven capacity for quality preparation of written correspondence, preferably experience with ministerial correspondence
  • Required: National Police Clearance dated within the last 3 months

The most important part of this role that the person coming in will have to do is process the ministerial correspondence which comes in. It is very important that it is processed in a timely manner.
There is no work from home allowance for this assignment.
It would be ideal if the candidate had experience in a government department previously and may have used their electronic records management system. Any knowledge of processing Ministerial files would be most welcome.
 
Most importantly the right candidate will need to meet the following criteria;
 
  • Considerable word processing skills and sound general computer skills, with proven capacity for quality preparation of written correspondence.
  • Well developed interpersonal, oral and written communication skills, including the ability to liaise and negotiate with officers and staff at various levels.
  • Demonstrated initiative to solve non-routine problems and ability to work with minimal supervision

Key role of this position
 
Provides administration assistance and support for various team members, including preparation of correspondence, word processing, recording and preparation of minutes, and coordination of meetings. This position will also be required to assist with the preparation and coordination of ministerial correspondence, acting on enquiries, schedule management and general office duties.
 

Core duties and responsibilities
 
Administrative
  • Drafts and prepares answers to ministerial correspondence.
  • Prepares meeting agendas and records minutes to ensure that meetings are efficiently conducted and properly recorded.
  • Provides research support for various issues as required.
  • Assists with the coordination of functions including team and group meetings.
  • Provides daily administrative support to the Executive Assistant to ED including answering telephones, and relieving Executive Assistant to ED as required.

Secretarial
  • Provides secretarial, word processing and administration support to Department Managers.
  • Coordinates with Department's Corporate Records to maintain the filing system.

Other
  • Undertakes other duties as required.
