  • Rate: $49.15 p/h + Super
  • Location: Fremantle
  • Fulltime hours onsite
  • Start date TBC (within the next month) for 3-6 months
  • Required: current National Police Clearance
Secretarial Duties
  • Assists the Executive Director with diary and electronic contact management.
  • Takes and directs telephone calls and responds to enquiries professionally and efficiently.
  • Liaises with stakeholders on behalf of the Executive Director.
  • Receives visitors and provides hospitality (tea/coffee).
  • Organises meetings, including agendas, room bookings, teleconferencing, and minute taking.
  • Arranges travel, itineraries, visas, and accommodation for the Executive Director.
  • Assists with preparation of Board papers and meeting documentation.
  • Maintains confidential files and correspondence.
  • Types, proofreads, and tracks correspondence.
  • Maintains the tidiness of the Executive Director’s office.
Administrative Duties
  • Provides day-to-day administrative support.
  • Conducts research, analyses documents, and coordinates information as required.
  • Manages databases.
  • Provides general administrative support, including word processing and basic financial and HR processes.
  • Prepares PowerPoint presentations.
Compliance and Legislative Knowledge
  • Complies with the Code of Conduct.
  • Adheres to relevant policies and procedures, as well as relevant legislation.
  • Meets Occupational Safety and Health, Equal Opportunity, and other legislative requirements.
Essential Requirements
  • Ability to work independently and collaboratively in a team environment.
  • Strong secretarial skills, including quality word processing and minute taking.
  • High-level computer skills, including diary management, Excel, PowerPoint, and database systems.
  • Knowledge of office procedures, records management, and basic financial and HR processes.
  • Excellent verbal, written, and interpersonal communication skills.
  • Strong organisational and coordination skills with the ability to manage priorities effectively.
Desirable Requirements
  • Knowledge of government procedures, including Ministerial correspondence preparation.
  • Experience using the TRIM records management system.
  • Current “C” class driver’s licence.
