Reception
- Responsible for the day-to-day running of the front desk reception service and is the first point of contact for people contacting or visiting the office.
- Receives, screens and processes all telephone and face-to-face enquiries, answering basic queries and directing more complex matters to appropriate personnel.
- Monitors, responds to and records emails received in company's enquiries mailbox following protocols and procedures, referring matters to others where necessary.
- Manages the registration of contractors and maintains records of all visitors, including validating through necessary databases when required.
- Maintains a number of corporate databases (including for contractors) and prepares statistics for reporting purposes as required.
- Coordinates building access for approved contractors in accordance with operating procedures.
- Updates and maintains procedures for Reception and provides advice to staff, visitors and clients.
- Monitors and maintains the Gallagher / Cardax security system.
Administration Support
- Coordinates staff identification and building access cards for new staff in the Gallagher / Cardax security system, ensuring approvals are gained and properly documented.
- Activates approved changes to building access for staff, including ensuring access is removed for exiting staff and troubleshooting any access difficulties.
- Opens, records and distributes all incoming registry mail.
- Manages and monitors all cab charge vouchers, ensuring they are accurately recorded and secure.
- Provides support to the records function in accordance with the company's record keeping plan which includes the appropriate management and organisation of confidential files and documents.
- Provides support to the Executive Assistant in organising and coordinating meetings/functions including the booking of venues, catering and other support activities.
ESSENTIAL
- Ability to deliver customer-focused and professional reception and switchboard services.
- Effective interpersonal and communications skills, both verbal and written.
- Good administrative support skills with the ability to produce accurate work in a timely manner.
- Well-developed skills in the use of Microsoft Office products, internet and intranet, records management systems, and other relevant software and technology.
- Ability to participate effectively in a team environment and with limited supervision.
