Main Areas of Responsibility:
- Ensure smooth functioning of the COO office and support their day-to-day activities and manage multiple tasks and priorities simultaneously.
- Diary and calendar management for the COO.
- Responsible for coordinating meeting governance requirements, including preparation of agendas, ensuring papers are ready for upload to Convene, recording minutes, maintaining action logs, and following up actions arising from the Management Committee, Service Area Leadership Meeting (SALT) and other meetings as directed by the COO.
- Coordinate On Call rosters, communicate roster changes with employees, manage urgent roster amendments including occasional out-of-hours system updates in response to emergency changes, and administer the On-Call folder to ensure resources are accurate and up to date.
- Perform bookkeeping tasks such as credit card reconciliation and invoice approvals, whilst adhering to the delegation of authority.
- Manage correspondence and prepare letters as directed by the COO.
- Update various email distribution lists for the Executive or Senior Leadership groups.
- Organise travel arrangements for staff such as flights, car hire, and accommodation and ensure that appropriate approvals are obtained.
- Manage accounts for Convene, and or other organisation-wide programs as directed by the COO.
- Provide support to the Company Secretary in the management of Board-related events.
- Assist with organisation-wide events/meetings.
Stakeholder Engagement:
- Develop and maintains respectful and responsive relationships with relevant agencies.
- Ensure the reporting requirements of stakeholder interests are delivered internally in a timely and effective manner.
- Contribute to the assessment of existing stakeholder engagement strategies.
Financial Management and Reporting:
- Deliver timely reports on achievements, outcomes, KPIs and risks.
- Ensure data required for funding bodies is available when required.
- Report on outcomes against quality and financial indicators.
Essential
- Demonstrated capability to manage multiple calendars and service simultaneous requests from Senior Leadership Team members.
- Demonstrated experience in an Executive Assistant or equivalent senior support role within a large and complex organisation.
- Demonstrated ability to prepare and coordinate meeting packs, agendas, and minutes to a high professional standard.
- Advanced computer skills, particularly in the Microsoft Office Suite.
