Position Summary
  • 2–3 week full-time assignment commencing 13 July
  • 37.5 hours per week (Monday to Friday, between 8:00am and 5:00pm)
  • Opportunity to support a major 2026 Winter Strategy initiative

  • Current National Police Clearance or ability to obtain one required

We are seeking an experienced Administration Officer to support the processing of payment claims as part of the 2026 Winter Strategy. Working closely with Senior Policy Officers and the Principal Policy Officer, you will play a key role in ensuring claims are processed accurately and efficiently while providing administrative support across vaccine program operations.

About the Role
This is a fast-paced administration role that requires excellent attention to detail, strong computer skills, and the ability to manage multiple priorities. You will be responsible for processing claims, maintaining databases, supporting vaccine distribution activities, and providing high-quality customer service to a range of stakeholders.

Key Responsibilities
  • Process payment claims accurately using the REDCap database.
  • Manage and maintain online databases and records relating to vaccine ordering, stock, and distribution.
  • Monitor and manage shared email inboxes using Microsoft Outlook.
  • Prepare reports and provide data to support vaccine procurement, stock management, and program planning.
  • Provide administrative support for vaccine ordering and distribution processes across Western Australia.
  • Respond to enquiries from immunisation service providers and other stakeholders regarding vaccine ordering and eligibility.
  • Maintain records relating to vaccine stock, distribution, wastage, and program compliance.
  • Assist in maintaining policies, procedures, process documentation, and communications relating to vaccine management.
  • Support the administration of specialised vaccine programs, including rabies prophylaxis and yellow fever accreditation.
  • Update and maintain relevant webpages and support operational delivery of immunisation programs.
  • Assist with other administrative duties and projects as required.
About You
To be successful in this role, you will have:
  • Previous experience in a busy administrative or data processing role.
  • Confidence using databases and online systems, with the ability to learn new systems quickly.
  • Experience using Microsoft Outlook, including managing shared or generic mailboxes.
  • Excellent attention to detail and a high level of accuracy.
  • Strong organisational and time management skills.
  • Excellent written and verbal communication skills.
  • The ability to work collaboratively with internal teams and external stakeholders.
Requirements
  • Full-time availability (37.5 hours per week) for the duration of the assignment.
  • Current National Police Clearance, or the ability to obtain one prior to commencement.
  • Availability to commence on 13 July .
