Key Responsibilities
- Provide high-level executive and administrative support, including confidential correspondence, reports, briefings, travel, diary management, and enquiries.
- Develop, implement, and monitor administrative systems and processes, providing support and advice to Directorate staff.
- Monitor workflows, conduct research and investigations, and ensure key deadlines and deliverables are met.
- Provide executive support to committees, including coordinating meetings, preparing agendas, recording minutes, and distributing meeting materials.
- Deliver complex administrative tasks and projects to achieve agreed objectives.
- Build and maintain effective relationships with stakeholders, responding to enquiries from schools, education sectors, and the community.
- Foster effective collaboration and working relationships across the Directorate.
- Administer and monitor financial processes in line with departmental policies.
- Manage confidential and sensitive enquiries, ensuring appropriate referrals and timely responses.
- Maintain accurate records and information systems in accordance with recordkeeping policies.
Selection Criteria:
- Extensive experience providing administrative and executive support to senior managers.
- Strong verbal communication and interpersonal skills, with the ability to build relationships with stakeholders at all levels.
- Excellent written communication skills, including preparing correspondence, minutes, and briefing notes.
- Well-developed research, analytical, organisational, and time management skills, with the ability to prioritise competing deadlines and work independently.
- Proficient in Microsoft Office and business systems, including databases and spreadsheets.
