Our client is seeking an experienced Level 6 Executive Officer to lead and coordinate Ministerial, Parliamentary and Executive functions for the Office of the Deputy Director General.

This role requires someone who has already operated at Tier 2 / Divisional level, supporting a Corporate Leadership Team member and confidently engaging with senior executives across a large, complex public sector environment.

This is a high‑trust, high‑visibility role suited to an EO who is ready for progression and wants to influence Divisional operations, strengthen governance, and drive continual improvement.

The Executive Officer is responsible for the effective coordination of Ministerial and Executive correspondence across the Division, ensuring accuracy, timeliness and compliance with Departmental standards.

You will provide expert advice, maintain strong links between the Division and the Department, and promote best practice in Ministerial, Parliamentary and Executive processes.
You’ll lead work (not just review it), coach team members, and operate with autonomy, judgement and resilience.

This is not an EA‑style role — it requires strategic coordination, high‑level writing, stakeholder negotiation and the ability to influence at senior levels.

Management & Leadership

  • Manage the DDG Business Services’ Ministerial and Executive functions, ensuring continuous improvement, quality assurance and compliance with statutory and Departmental requirements.
  • Drive cost‑effective outputs aligned with budget and Divisional priorities.
  • Develop strategies and action plans that support Departmental planning frameworks and best practice.
  • Provide consultancy, advice and linkage across the Division and Department.
  • Maintain oversight of all Ministerial and Executive services, ensuring timely, accurate and high‑quality correspondence.
  • Represent the Division on internal and external working groups.

Business Services

  • Provide expert advice to the Senior Leadership Team on Ministerial, Executive and Parliamentary matters, including document structure, format and approval pathways.
  • Ensure consistent, monitored and compliant Ministerial and Executive practices across directorates.
  • Maintain effective bring‑up systems, coordinate agendas, prepare briefing notes, draft correspondence and support meetings.
  • Develop and maintain Divisional information management systems.

Planning & Policy

  • Support monitoring and evaluation of structured planning to deliver priority programs across Agency, Division and Directorate plans.
  • Develop and maintain best practice policy and procedures for Ministerial, Parliamentary and Executive functions.
  • Contribute to the design and development of Corporate Executive systems.

Reporting & Advice

  • Prepare high‑level management reports for the Senior Leadership Team.
  • Ensure all Ministerial, Parliamentary and Executive correspondence meets required standards — timely, accurate, risk‑aware and analytically sound.
  • Provide clear recommendations and identify risks requiring action.

What you'll bring:

  • Demonstrated experience at Tier 2 / Divisional level supporting a CLT member (not Directorate or Regional).
  • Proven capability as a Level 6 EO — leading work, coaching teams, and delivering under pressure.
  • Strong public sector experience , with deep understanding of Ministerial and Parliamentary processes.
  • Exceptional writing skills — drafting complex documents, not just editing.
  • High resilience, emotional intelligence and the ability to make timely decisions.
  • Ability to lead without formal line authority and work collaboratively as a hands‑on team member.
  • Confidence engaging with senior stakeholders including DDG, Divisional leadership and executive teams.
  • Ability to hold the line on Divisional processes while knowing when a collegiate approach is required.
  • Exposure to finance and budgeting processes (not the primary focus but still relevant).
