Our client is looking for a proactive and adaptable Administration Officer to join their busy team in Kensington.

This is a full‑time, office‑based role supporting a busy environment with competing priorities — perfect for someone who thrives on variety and enjoys being the go‑to person for keeping things moving.

Personality and attitude is the main thing here, the client wants someone who is a great team player, quick to learn and they are happy to train the right person.

What You’ll Be Doing:

  • Managing multiple inboxes and handling a wide range of correspondence
  • Maintaining accurate records and documentation
  • Processing staffing requests and supporting workforce coordination
  • Assisting with the progression of Ministerial responses
  • Performing basic finance tasks, including credit card reconciliations
  • Providing mailbox management and general administrative support

Administration (85%)

  • Provide high‑level confidential administrative and secretarial support to the Executive Director, Executive team and regional staff.
  • Manage divisional inboxes, maintain correspondence registers, and process recruitment requests, contracts/tenders, approval letters, fleet, travel, staff relocations, leave and other confidential staffing matters.
  • Maintain accurate document flow and record‑keeping for the Executive Director’s mailbox.
  • Assist with preparing and progressing memoranda, letters, Director General correspondence and Ministerial responses.
  • Liaise professionally with internal and external stakeholders.
  • Support the timely preparation and distribution of meeting papers.
  • Coordinate purchasing of office stationery and supplies

Finance (10%)

  • Assist with data entry and reconciliation of corporate card transactions.

General (5%)

  • Provide relief support for the Executive Officer as required.
  • Participate in fire management activities appropriate to training and capability.

You will be:

  • Quick to learn and confident navigating new systems
  • A team player with a positive, can‑do attitude
  • Comfortable working in a reactive environment with shifting priorities
  • Organised, reliable, and able to juggle multiple tasks at once

Requirements:

  • Must have no working restrictions
  • National police clearance within 6 months old
  • 2 x work related work references
  • Proficient in MS Office; quick to pick up computer systems and experience in a buy role with administration skills.

Location / Hours:

  • Starting: Around 13 April but this is flexible. You will be getting a handover from current candidate who is finishing on the 24th April so ideally before then for some handover.
  • Highly likely extension with a view to being advertised as a permanent role
  • State Government assignment
  • Free onsite parking
  • Monday to Friday, full‑time office hours
  • 8:30am–4:30pm or 9:00am–5:00pm
  • $55 + Super hour (37.5 hours per week)
