Key Duties and Responsibilities
Contractor Reception & Access Management
- Welcome and assist contractors attending Engineering Reception, including sign-in and the issue and return of keys, contractor badges and parking permits.
- Check contractor induction requirements and ensure contractors are aware of the need to liaise with the Shift Engineer before commencing work.
- Maintain accurate records of keys, passes and badges, following up on any outstanding items.
- Manage the key and access pass drop box, including cleaning, checking and returning items to secure storage.
- Scan and electronically file daily sign-in sheets and induction documentation to the W Drive.
Engineering Reception & Customer Service
- Respond to calls from hospital staff regarding engineering and facilities issues, including plumbing, automatic doors, chutes and other building services.
- Accurately record and communicate requests to the appropriate Engineering or Facilities team member.
- Assist hospital staff with the work request/Empac process and provide reminders where required.
- Provide general administrative and reception support to ensure contractors, staff and visitors are efficiently directed and supported.
Accounts & Invoice Processing
- Manage the Engineering reception inbox and process a high volume of invoices received each day.
- Print, stamp and match invoices against purchase orders and work orders.
- Distribute invoices to the relevant staff member for review, approval and processing, or forward invoices to the appropriate department.
- Use Oracle and Empac to identify and confirm relevant cost centres and work order details.
- Save service reports and supporting documentation to the W Drive.
Utilities & Accounts Payable
- Process utility invoices for multiple facilities.
- Obtain the required approvals, save documentation to the W Drive and maintain relevant Excel spreadsheets.
- Enter and process invoices in Oracle, including receipting against purchase orders.
- Forward completed invoices to Accounts Payable for payment.
Payroll Administration
- Maintain payroll records using Rostar for Shift Engineers across multiple facilities.
- Record sick leave, annual leave, RDOs and other payroll changes.
- Calculate and enter overtime and other relevant payroll information.
Contractor & Compliance Administration
- Maintain Excel registers for contractor insurance and induction requirements.
- Monitor expiry dates and send reminders to contractors and relevant staff when documentation is due for renewal.
General Administration
- Order stationery and kitchen supplies as required.
- Book meetings and maintain room bookings in Outlook for the Engineering meeting room.
- Maintain office and kitchen supplies, including replenishing kitchen items and printer paper.
- Perform general filing, data entry, document management and administrative duties as required.
- Maintain a clean, organised and professional reception and office environment.
- Provide general administrative support to the Engineering team as required.

This is a busy and varied role suited to someone who is organised, reliable, resilient and able to prioritise competing tasks in a fast-paced environment.
The successful applicant will be comfortable working in a hands-on engineering and facilities environment, have excellent attention to detail and be confident dealing with a wide range of people. The role requires someone who can work independently, use initiative and remain calm, resilient and solutions-focused when faced with competing priorities, unexpected issues or challenging situations.
You’ll be joining a supportive team where everyone pitches in, so a positive attitude, good communication skills and a healthy sense of humour will be highly valued.
