Information Management
• Provides support to the Senior Officer in preparing archival records in line with legislative requirements.
• Ensures the integrity of information, incorporating current advances in electronic information storage technology to ensure effective practices are in place.
• Assists with the maintenance of the electronic document management systems (EDMS) including generation of integrity and destruction reports.
• Manages the day to day operations of the EDMS and related systems, including systems support, settings and security in accordance with established policy and objectives.
• Assists in the ongoing development of information governance practices and systems including providing project support to promote a culture of continuous improvement.
Customer Service Support
• Provides effective responses relating to enquiries on information governance practices, including EDMS operations and informs users of actions taken.
• Monitors service requests, escalates to the Senior Officer as required and ensures effective completion in a timely manner.
• Assists with the receipt, opening, sorting and subsequent distribution of incoming mail and correspondence
Information Security
• Performs simple security administration tasks and maintains relevant records and documentation including archiving and destruction practices for administrative records and mail management.
• Supports the Senior Officer to monitor practices and processes that ensure the security, integrity, safety and availability of all forms of data and data structures that make up the colleges’ information holdings.
• Maintains a high level of confidentiality and discretion at all times when dealing with corporate/academic information.
Quality Assurance
• Conducts system and process audits and takes any action required whilst reporting to the Senior Officer systemic issues as they arise.
• Supports the Senior Officer in liaising with users to identify and assess user requirements for the EDMS and identify opportunities for improvement to business processes.
• Provides training to new and existing staff in the EDMS and information governance practices.
• Contributes to the development and maintenance of self-help and user
Essential
- Demonstrated experience in contemporary records and document management practices, and knowledge of the records management and archival provisions of the State Records Act 2000 and other relevant legislation (FOI and Privacy) within a diverse and complex organization.
- Demonstrated experience in the administration and use of an Electronic Document Management System (EDMS) in a records management environment, including experience in delivering EDMS training.
- Well-developed verbal, written and interpersonal communication skills with the ability to liaise, problem solve, negotiate and interact with a range of stakeholders and vendors in a variety of contexts.
- Enhanced computer skills showing a strong attention to detail so that data and documentation is accurate and high quality and that record keeping is clear and concise.
