$50.58 - $55 p/hr + Super
Commence 24/6 - 3 months with possible extension

  • Provides a confidential administrative, secretarial, office management and research service/support to the Executive Director.
  • Considerable experience in an administrative office management or secretarial role at a senior executive level.
  • Good understanding of policies, protocol and administrative practices pertaining to Public Sector process and procedures.
  • Commitment to providing a high level of customer service.
  • Well developed communication and interpersonal skills with a proven ability to deal with a broad range of customers and stakeholders.
  • Ability to use initiative and deal with complex and confidential matters in a discreet and sensitive manner.
  • Well developed organisational skills, including the ability to prioritise and manage multiply tasks.


Executive Support:
  • Provides direct executive and confidential secretarial service to the Executive Director, Transperth System, Regional & School Bus Services (TRSBS) Division.
  • Receives and processes requests for appointments and/or meetings: briefs the Executive Director on planned daily schedules and maintains daily diary.
  • Receives, screens and initiates appropriate action in relation to incoming calls. 
  • Attends to visitors on behalf of the Executive Director, TRSBS Division.
  • Receives, vets, checks and monitors all incoming and outgoing correspondence on behalf of the Executive Director.
  • Coordinates progress on correspondence and reports to provide assistance to the Executive Director.
  • Maintains a confidential records and filing system.
  • Responsible for coordinating timely provision of information requested from Divisional managers and other senior staff.
  • Undertakes appropriate research and prepares briefing notes to provide the Executive Director with relevant information as required.
  • Organises travel arrangements and itineraries and associated accommodation requirements for the Executive Director, Managers and Divisional Staff.
  • Assists, advises and liaises with members of the senior management team within the TRSBS Division and all staff to progress issues on the behalf of the Executive Director.
  • Coordinates and organises functions and conferences as requested by the Executive Director.
  • Liaises with external organisations and agencies, and with senior management team on matters relating to the Division.
  • Initiates agenda papers, undertakes role of minute secretary and provides coordination and support for committees and working parties, including initiation of some correspondence and action arising from the meetings.
  • Assists in the preparation of correspondence and confidential reports.
