Function :
Assistant Commercial and Quality Services Coordinator
 
Commercial Support:
·          Assist with the coordination of Loop Reinstatements, including liaising with stakeholders, responding to queries, requesting quotes, issuing work orders, and following up as required.
·          Support practical completion coordination, ensuring all necessary steps are taken (receiving from Statewide Electrical Contractor, liaising with Project Managers to confirm readiness for handover, drafting letters for sign-off, and sending communications).
·          Support WIP (Work in Progress) reporting, ensuring timely and accurate updates to management.
·          Assist with the preparation and submission of 451 Invoicing, ensuring compliance with contract requirements and payment schedules.
·          Code invoices for the P2P system
·          Assist in the coordination of SWEC and GFF Contract claims.
·          Assist in maintaining accurate payment and verification records to ensure easy access and compliance during audits.
·          Coordinate low value request from both the department and LGAs along with tracking their progress
·          Follow up and report on outstanding audit findings with project managers
 
Quality Support:
·          Assist in the preparation, review, and update of procedure documents related to support Commercial and Quality Services Co-ordinator tasks to ensure consistency across the team.
·          Support the co-ordination of risk assessment meetings, ensuring that any updates to the Risk Register are accurately captured and communicated.
·          Assist in the tracking and implementation of quality management improvement actions, ensuring that all actions are documented and followed up.
·          Support continuous improvement efforts by recommending enhancements to current systems and processes, and assisting in their implementation.
·          Track ECW project handovers and as constructed drawing updates
 
Administrative Support:
·          Provide administrative support for the smooth execution of commercial and quality management tasks, ensuring all documentation, data, and records are maintained accurately and up to date.
·          Assist in facilitating communication across teams and stakeholders, ensuring clear understanding of contract claims, financial processes, and quality requirements.
·          Support the Commercial and Quality Services Co-ordinator with any other ad-hoc administrative tasks as required to ensure the effective operation of contract management activities.
·          Complete quarterly fixed asset audits to ensure the FATS program maintained and up to date
·          Schedule and co-ordinate project meetings, document meeting agendas, minutes, and action logs
ESSENTIAL:
  • Planning, organisational, and financial management skills including accounts receivable
  • Working knowledge of Microsoft Word, Excel, Access – Intermediate
  • Good verbal and written communication skills
 
DESIRABLE:
  • Understanding of types of maintenance activities in a large multidiscipline organisation and working with internal and external stakeholders
