About the Role:
You will provide comprehensive administrative, financial, and human resource support across key programs and operations. This includes secretariat support for internal and external meetings, procurement and travel coordination, as well as support for recruitment and project activities.
Key Duties and Responsibilities:
Administration
- Provide high-level admin and clerical support to the team.
- Manage meeting logistics – scheduling, agendas, minutes, and action tracking.
- Assist in project support, including the Professional Education Program.
- Maintain hard copy and digital filing systems, including confidential files.
- Act as the first point of contact for enquiries, ensuring sensitivity and discretion.
Finance
- Manage procurement using Corporate Purchasing Card and Oracle Financial System.
- Process and reconcile payments, invoices, and travel bookings.
- Arrange quotes and ensure compliance with procurement and finance guidelines.
Human Resources
- Process rosters (RoStar), leave applications, contracts, and recruitment activities.
- Ensure adherence to public sector awards, agreements, and policies.
Asset Management
- Maintain the asset register and coordinate building, equipment, and fleet maintenance.
Projects
- Undertake research and support project delivery as required by senior staff.
Desirable Experience:
- Experience using RoStar
, TRIM
, and DOH systems
.
- Previous administrative experience in a government or health-related environment.
- Knowledge of financial systems, public sector HR processes, and procurement policies.
