We are currently seeking an experienced and highly organised Executive Assistant to provide high-level administrative and secretarial support to the Executive Director and team members of the Office of the Executive Director.
This is an excellent opportunity for a proactive and detail-oriented professional who thrives in a fast-paced environment, can manage competing priorities, and maintains confidentiality at all times. The position is based in East Perth and will run for approximately four to six weeks while the permanent recruitment process is underway.
Key Responsibilities:
- Provide professional executive and administrative support to the Executive Director, Directors, and senior team members
- Manage and maintain the Executive Director’s calendar, including appointments and meetings
- Coordinate and prioritise incoming and outgoing correspondence, including management of the correspondence database
- Liaise with senior executives across WA Health, government, and non-government organisations
- Organise travel and accommodation bookings and approvals
- Maintain administrative, financial, and records management systems to ensure secure and efficient information handling
- Prepare high-quality correspondence, briefings, and memos in line with style and format guidelines
- Track progress on key matters, including public engagements and ministerial correspondence
- Arrange meetings and functions, including hospitality and logistics
- Provide executive support for meetings, including agenda preparation and minute-taking
- Conduct research, contribute to briefing papers, and assist with special projects
- Work closely with senior managers to improve internal processes and reporting
- Gather and analyse data for use in reports, meetings, and decision-making
- Perform other duties as required

Essential:
- Strong interpersonal, verbal, and written communication skills
- Excellent organisational and problem-solving abilities with the capacity to manage competing priorities
- Demonstrated experience providing executive support, including preparing correspondence, agendas, and minutes
- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and Microsoft Teams
- Well-developed research, information gathering, and analytical skills
- Ability to work effectively both independently and within a team environment
