We are currently seeking a reliable and detail-oriented Clerical Officer
to support the day-to-day administrative and reception operations within a busy hospital environment. This part time role runs from Wednesday to Friday each week, from 8.00am to 4.00pm.

Key Responsibilities:
Reception and Front Desk Support
- Provide a courteous and responsive reception service for staff, patients, and the public
- Manage incoming telephone enquiries and forward messages as needed
- Arrange bookings for interpreters and patient transport
- Welcome visitors and assist with general reception duties
Patient Information Management
- Enter and update data in patient administration systems (e.g. TOPAS, PSOLIS) for admissions, discharges, appointments, and demographic details
- Maintain accuracy of patient legal documentation and forms
- Respond to requests for patient information and discharge summaries from external services
- Print and prepare registration forms and patient labels
Medical Records and Administrative Support
- Retrieve and prepare medical records for admissions
- File and manage correspondence across multiple mental health service programs
- Track medical records and perform medical typing as required
- Update rosters and support clinical team scheduling
- Coordinate documentation, prepare agendas, and take meeting minutes
General Administrative Tasks
- Order and maintain stationery and unit supplies
- Process incoming and outgoing mail
- Support IT needs, including printers, monitors, and equipment bookings
- Assist with staff rostering entries and facilities management requests
- Coordinate room bookings and parking for authorised visitors
- Manage invoice processing and approvals
- Provide typing support and assist with general staff enquiries
- Support onboarding and orientation for new and relief clerical staff
About You:
- Comfortable working in a hospital environment
- Confident in reception and front desk duties
- Proficient in Microsoft Office and general administrative systems
- Prior experience with WA Health systems, including WebPAS and PSOLIS, is highly desirable but not essential
- Strong communication skills and a professional manner
