About the Role
We are seeking a highly organised and professional Administration Assistant to provide confidential secretarial and administrative support to the Director of Youth Mental Health. This critical role ensures the smooth coordination of administrative services and control processes within the department. You will play a key role in supporting high-level operations, preparing reports, and managing information flow for the Director and broader team.

Key Responsibilities
Secretarial Duties:
  • Manage and maintain a schedule of appointments, meetings, and other commitments for the Director to ensure effective time management.
  • Screen incoming correspondence and inquiries; redirect to appropriate staff or take necessary action.
  • Highlight urgent matters and draft routine correspondence as required.
  • Maintain a bring-up system or diary of commitments, follow up with staff to ensure deadlines are met.
  • Compile and collate files, documents, and briefing materials in preparation for meetings and other events.
  • Type correspondence and prepare complex documents with high standards of accuracy and presentation.
  • Organize meetings and events, providing secretarial support as needed.
What We’re Looking For
  • Proven experience in an executive support, administrative or secretarial role.
  • Exceptional organisational and time-management skills.
  • Ability to manage confidential information with discretion.
  • Strong communication and interpersonal skills.
  • High attention to detail and proficiency in Microsoft Office Suite.
  • Experience with the Department of Health desirable
  • Being comfortable working in a hospital environment
  • Police clearance (or can apply for one)
