DUTIES:
Assists in preparing project documentation including project plans, monthly reports, project variations and schedule information.
· Undertakes investigation of straightforward issues and provides relevant information to the Project Managers for further consideration or action.
· Collects data, monitors project progress, prepares reports, and supports resolution of issues affecting milestones or performance indicators.
· Coordinates assigned project components on behalf of the Project Managers to ensure deadlines are met.
· Liaise with internal personnel at all levels and external stakeholders as required.
· Supports Project Managers with project groups, such as Steering Committees, through report preparation, agenda distribution, and minute taking.
· Follows processes and project management systems, including invoice verification and processing for accounts payable/receivable.
· Assists with site visits and recording of site information.
· Supports contract administration, including document management (excluding drawings) and correspondence tracking.
· Monitors contract correspondence to ensure procedures are followed and Project Managers are informed of key communication.
· Review project claims against contract conditions and assists with progress claims processing, including receipt of claims, assessment timing, preparing draft certificates and payment tracking.
· Assists in monitoring the status of contract requirements for insurances and securities.
· Assists with preparation and distribution of contract and procurement documents.
REQUIRED:
· Substantial understanding and experience in providing project and administrative support within a project team environment, including:
o Contract administration using established templates and standards
o Basic principles of project scheduling (e.g. Gantt Charts)
o Basic principles of risk, scope, change management, and procurement activities.
· Highly developed verbal and interpersonal skills, including the ability to work effectively as a key support person within a project team environment.
· Well-developed written communication and word processing skills, with a proven capacity to prepare quality correspondence.
· Sound skills in identifying trends and issues and making recommendations that contribute towards ongoing improvements.
· Strong organisational skills, with the ability to work with minimal supervision and manage competing demands.
Proficient computer literacy, including the ability to use Microsoft Excel and computerised records management systems.
