  • This role would suit someone who has some PA/EA experience looking to further this experience, they are looking for someone with strong admin and people skills who is happy to take minutes / manage diaries.

Core duties and responsibilities:
 
Management Support:

  • Manages branch Directors and Managers with meeting coordination and calendars , including scheduling meetings/appointments and organising bring-up materials.
  • Performs role of Minutes Secretary at meetings, including preparation and distribution of agendas, action lists and minutes, and following up actions on behalf of the Director/Manager and/or the management team.
  • Assists with the preparation and management of correspondence and archiving of documents.
  • Attends to telephone calls.
 
Administrative Support:

  • Performs collaboratively with teams across the Division and liaises with internal and external stakeholders to provide administrative support and customer service.
  • Carries out and supports others in financial activities, such as purchasing, invoicing, completion of financial paperwork and monitoring expenditure against purchase orders.
  • Arranges meetings and other events, including catering and booking of facilities.
  • Conducts general housekeeping activities, such as ensuring photocopying and conference rooms are tidy and adequately stocked.
  • Receives and distributes incoming and outgoing correspondence and files.
  • Provides support in human resource (HR) related activities, i.e. interview preparation and arrangement, induction of new employees, Corporate Apparel and completion of HR related papers
  • Provides support in the management and maintenance of the divisional vehicle fleet.
  • Orders and maintains office supplies and equipment.
  • Maintains records, registers and other administrative systems.

  • Relevant customer focused administrative expertise, including:
  • Experience in an administrative, office management support or secretarial role.
  • A good understanding of administrative procedures and practices.
  • The ability to use initiative and deal with issues in a professional and productive manner.

  • Well-developed interpersonal, verbal and written communication skills, including the ability to liaise with staff at various levels and a demonstrated ability to work effectively as a team member.
 
3. Organisation
  • Sound organisational and time management skills, including the ability to work with minimal supervision, balance competing priorities and meet strict deadlines.
 
4. Conceptual, Analytical and Problem Solving
  • Demonstrated ability to identify and implement process improvements.
 
5. Computer Literacy
  • Sound computer literacy, including high-level word-processing skills.
