• Provide a range of executive support services, including preparing and collating correspondence, coordinating and managing the diary, screening telephone calls, redirecting queries, preparing agenda’s and drafting minutes.
• Liaise effectively with a diverse range of internal and external stakeholders in a professional, diplomatic and customer focused manner.
• Identify, anticipate and prepare information requirements for the Executive Director’s meetings, appointments, presentations and follow-up inward and outward requests for information and outstanding reports and correspondence.
• Assist with hosting meetings with internal and external stakeholders and welcome visitors as required.
• Assist in the preparation of Ministerial correspondence, submissions and confidential reports and coordinate the timely provision of information.
• Maintain effective information management and recordkeeping practices of all records received and generated within the Directorate.
• Initiate agenda papers, undertake the role of minute secretary and provide co-ordination and support for committees and working parties, including initiation of some correspondence and actions arising from the meetings.
• Arrange meetings, events, venues, travel and accommodation, as required.
• Work as a team with the People and Culture directorate to ensure the office of the Executive Director is well managed and governed, i.e., procurement activities, financial administration, etc.
• Undertake other duties as requested.
