Genetic Health Patient Information Services
Location: Subiaco
Position Type: Full-Time, Monday to Friday
Assignment Duration: 3 months+
$40 to $50 per hour

Key Responsibilities:
1. Referral and Patient Coordination
  • Receive, process, and coordinate all incoming referrals, ensuring all related documentation is accurate and complete.
  • Organise pre- and post-clinic information for specialist areas within the state-wide service.
  • Manage outpatient clinic bookings, coordinate clinics in multiple locations, and update relevant patient databases.
  • Utilise and maintain computerised patient administrative systems and clinical genetics databases to ensure accurate patient details, referrals, service events, and discharge records.
  • Analyse and rectify data discrepancies by interrogating computer systems.
  • Provide activity data to the Operations Coordinator for monthly activity-based funding (ABF) reporting.
2. Administrative and Secretarial Support
  • Offer high-level, confidential administrative and secretarial support to the Genetics State-Wide Service.
  • Typing, formatting, and reviewing clinical correspondence with precision.
  • Attend and contribute to service meetings, take minutes, and update patient databases accordingly. Ensure all meeting documentation complies with the State Records Act.
  • Screen incoming correspondence and telephone calls, redirecting urgent matters to the appropriate staff.
  • Liaise with consumers, government and non-government agencies, and other professionals as required.
  • Develop and maintain efficient and confidential administrative record-keeping systems.
  • Organise and manage documentation related to quality assurance and accreditation activities.
3. General Responsibilities
  • Actively participate in continuous improvement initiatives and apply quality improvement principles to all duties performed.
  • Develop and maintain administrative and clerical policies and procedures.
  • Contribute to delivering customer-focused services.
  • Take ownership of Occupational Safety and Health (OSH) and Equal Employment Opportunity (EEO) issues.
Skills & Experience:
  • Strong administrative experience, ideally in healthcare or a related field.
  • Health and hospital experience is highly desirable.
  • Familiarity with patient management systems and databases is highly desirable.
  • Excellent communication skills, with the ability to manage multiple tasks and interact with a variety of stakeholders.
  • A proactive and detail-oriented approach to work.
  • Experience with quality assurance, accreditation, and adherence to regulatory standards.
