An exciting opportunity is available for an experienced Executive Officer to provide high-level executive and administrative support to top level Director within a state government health environment.
This is a fast-paced and highly sensitive role operating within a senior executive setting. The successful applicant will work closely with the Director in a small, close-knit and collaborative team, liaising regularly with senior departmental stakeholders.
A comprehensive 3–4 week handover and training period will be provided, with the expectation of working independently from 1 April.
Key Responsibilities
- Provide executive and administrative support to the Chief Health Officer and Deputy Director General and their office.
- Assess and prioritise requests to ensure optimal use of the executive’s time.
- Manage complex diary appointments, records and correspondence.
- Coordinate travel arrangements and schedule and support meetings.
- Coordinate and track incoming items requiring approval, including mail, briefing notes and Ministerial requests for information.
- Draft, proofread, compile and prepare correspondence, briefing notes, presentations, agendas and minutes in line with departmental standards.
- Delegate and supervise the preparation and review of draft responses to Parliamentary Questions and Ministerials.
- Gather and collate background information to support informed decision-making.
- Process routine financial transactions and purchasing in compliance with policies and procedures.
- Maintain and improve administrative practices, financial systems and information management processes.
- Undertake other duties as required.

You will demonstrate well-developed skills, knowledge and experience in:
- Exercising high-level initiative, including the ability to assess urgency and take decisive action in a demanding environment with competing priorities and strict deadlines.
- Information gathering, research and analysis, including sound information management practices.
- Clear and concise written communication, including drafting high-quality correspondence, documents, minutes, presentations and agenda papers.
- Strong interpersonal, verbal and written communication skills, with the ability to exercise discretion and maintain strict confidentiality.
- Providing high-level executive secretarial and administrative support, including liaising with senior internal and external stakeholders.
- Advanced proficiency in TRIM and Microsoft Office applications including Outlook, Word, Excel and PowerPoint.
