Role Overview
The Senior Executive Assistant provides proactive, flexible and responsive executive and secretarial support to the relevant Deputy Director General or Executive Director.
Role Responsibilities
The following outlines the key responsibilities and duties related to this position:
- Provides proactive, flexible and responsive executive and secretarial support to the relevant Deputy Director General or Executive Director.
- Manages and maintains the electronic diary and ensures that the necessary briefing notes, agendas, correspondence, presentations, etc. are available prior to meetings.
- Prioritises all matters, including incoming calls and correspondence, for the Deputy Director General or Executive Director and follows up on outstanding matters.
- Prepares correspondence and/or reports and briefing papers.
- Undertakes research and analysis as required.
- Organises high-level meetings and functions on behalf of the Deputy Director General or Executive Director, including hospitality arrangements.
- Liaises with other Corporate Executive members, senior staff and external stakeholders on behalf of the Deputy Director General or Executive Director, and follows up actions.
- Coordinates and arranges itineraries and travel arrangements.
- Undertakes purchasing on behalf of the Deputy Director General or Executive Director in accordance with delegated authority, maintains expenditure records and processes accounts.
- Provides administrative support to internal, and where required external, committees including agendas, minutes, and follow up actions.

Assists the Office of the Director General and the Departmental Coordination Unit as required.
