Role Descrption

Under limited direction, the Executive Assistant provides confidential executive, administrative and secretarial support to the Executive Director, while managing the operations of the Directorate office. The role acts as a key liaison across the department and with external stakeholders, ensuring efficient coordination, compliance with Government legislation, and adherence to departmental policies and procedures.

Key Responsibilities
Executive & Strategic Support
  • Provide high-level executive support including preparation and quality assurance of correspondence and briefings
  • Manage and prioritise the Executive Director’s diary, email and telephone communications
  • Screen, track and coordinate responses to confidential, Ministerial and Parliamentary correspondence
  • Collate and coordinate departmental input for briefing notes and executive responses
  • Liaise with government agencies, statutory authorities and external organisations

Essential
  • Demonstrated experience providing high-level, confidential administrative support to senior executives, with the ability to work independently, exercise initiative and deliver accurate outcomes under tight deadlines.
  • Highly developed interpersonal and communication skills, including the ability to liaise effectively with staff at all levels, Government representatives and external stakeholders, and prepare professional written correspondence.
  • Excellent organisational, time management and problem-solving skills, with the ability to prioritise competing demands, coordinate workflows and meet agreed timeframes.
  • Strong written and computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint) to prepare reports, briefings and presentations. Ability to draft and proofread correspondence to a high standard.
  • Ability to research, collate and present information in clear, concise formats suitable for executive decision-making.
  • Proven capacity to work autonomously using discretion, sound judgement and professionalism.
  • Understanding of occupational safety and health, and equity and diversity principles.
  • Current ‘C’ Class Driver’s Licence.
